The job in a nutshell

As a People Services Administrator you’ll support the People Services and Office Experience Teams and wider People Team by coordinating and processing all aspects of the employee life cycle.  

What you’ll be doing:

Inbox Management: first line of response for emails, prioritisation and distribution of emails and activities, maintenance of labelling and email filing.

Advising on key processes: first point of contact for queries relating to processes such as maternity, parental leave, new starters and leavers and employee changes. Corresponding with colleagues via letter and email and ensuring all documentation is accurate and up to date. Processing changes, new starters and leavers on the Fourth People System. Maintaining and completing payroll processes to include regional payroll sheets, monthly payroll changes, starters and leavers, and reporting.

Employee data and document management: maintain employee records and ensure all information is held in the correct format and in line with data retention guidelines. Maintenance of the Fourth system to ensure accuracy of data. Support with Data Subject Access Requests. Support with the provision of data for references, audit processes, external parties in line with GDPR compliance. Ensure all documents are version controlled and the most recent version shared, maintain the People Site and relevant sections of the Operating Manual.

Maintenance of the Fourth system: all areas of the system are kept updated as required including Fourth reporting lines, holiday management, setting up new hotels, job titles and contract levels, supporting password resets, access levels and Fourth app queries.

Reporting and administration: support People Services processes and wider team activities by providing key information and supporting initiatives such as the Shadow Board, long service awards and recognition schemes. Trackers are maintained to ensure all relevant cases are logged in accordance with the standard formatting guidelines and all facts are recorded accurately and in full.

Working with others: provide cover for the Office Experience Assistants as required to support with any short-term requirements and assist as necessary. Support the ER team with administration throughout periods of leave of the Employee Relations Administrator. Flexibility is required at times to start at 7am or finish at 7pm.
