The job in a nutshell


As an Accounts Payable Assistant you’ll be part of the Accounts Payable team. The role is hybrid working, with 3 days on site in our head office in Thame, and an option to work from home on the other 2 days. This role is responsible for providing an Overhead & Expense payment service to the business ensuring company authorisation limits and policies are adhered to. 


What you’ll be doing:


  • Executing all tasks assigned by the team leader diligently, on schedule, and to the highest standard

  • Processing high volumes of overhead vendor invoices and expense claims in accordance with the company expense policy and authorisation schedule


  • Responsible for assigned supplier accounts, ensuring all invoices are processed and paid in accordance with supplier payment terms


  • Maintain vendor records 


  • Conduct payment runs for supplier invoices and employee’s expenses


  • Answer queries from stakeholders by phone or email
       

  • General administration duties which includes opening and distributing of post, logging of vendor forms received and administration of any email accounts associated with Accounts Payable
       

  • Request, review and action supplier statements ensuring any queries are resolved in a timely manner 


  • Working with team members to achieve deadlines


  • Providing cover for team members

  • External: Suppliers


What we’ll expect from you


Essential:


  • Driven self-starter with a positive attitude


  • Team-player who can also work independently


  • Ability to challenge and report on processes which do not meet/follow company policy, with excellent attention to detail
       

  • Have proven organisation and communication skills – both verbal and written, be confident in liaison with internal and external customers


  • Basic/intermediate level of competence in Microsoft Excel


Desirable:


  • Good systems knowledge, in particular accounts payable system packages. SUN, V1 and iPOS knowledge is an advantage
