The job in a nutshell

This is a 12 month fixed term contract.

An exciting opportunity has arisen to support the Chief Property and Development Officer in delivering the company’s strategic and property and development plans. To provide a high provision of support at a senior level, with a professional and flexible attitude, responding positively to change.

What you’ll be doing

  • Support the Chief Property and Development Officer in delivering his objectives in a fast paced and challenging environment, keeping yourself well informed about what matters, and what the priorities are
  • Manage and maintain Chief Property and Development Officer & UK Development Director’s diary to accommodate conflicting needs and re-schedule meetings to ensure effective use of their time
  • Responsibility to remain flexible as and when required by the business, and adjust priorities accordingly, with a high level of confidentiality and discretion
  • Coordinate and prepare agenda papers and briefing material to ensure the senior Property team is fully informed, including notes on previous minutes, and details of actions taken
  • Prepare draft papers for review and approval, prior to submissions, and to attend key meetings, produce minutes, and ensure follow up
  • Manage and book travel requirements, and produce itineraries, including briefing papers as appropriate
  • Responsible for assisting with internal and external emails and correspondence including redirection, researching, and drafting response for signature when required
  • Manage internal inboxes to support with Property communications to internal and external Property and Development contacts
  • Assist with document writing, speeches, speaking notes and prepare PowerPoint/Google slide presentations and information packs for company events and briefings, when required
  • Manage confidential documents and sensitive information with discretion
  • Provide PA support to other Operating Board members on an ad-hoc / cover basis, including an Incident Management Group rota for significant incidents
  • Liaise with management, colleagues and service providers on a regular basis to maintain good relationships
  • Responsible for effective communications between all departments in the best interest of the Company
  • Preparation for briefing materials as required for key Board meetings, Investor Seminars, MIPIM conference and property meetings
  • Collation of accurate financial information / transactional yield evidence for external parties eg pension funds, banks and property professionals
  • Responsible for the preparation and design of the property brochures and the development website content using various sources and circulated to key property investors, advisers, valuers and property professionals
  • To act as a key contact for any property enquiries and redirect to the appropriate team member as and when required
  • Support the wider Development team with administrative tasks, rotas, holiday planning, diary management, event planning and document preparation
  • Provide line management to the Property & Development Administrator(s) to ensure timely and accurate submission of the departments invoicing and other Property department tasks
  • Provide regular contact and coordination of Property information with key departments and individuals, such as the Property Services PA, and the PR, Finance and Revenue teams

Stakeholders:

InternalMain / Operating Board Directors, CPDO’s direct reports, other PA’s, other TL departments, such as PR, Finance and Revenue, and all members of the Travelodge team

External: Owners, Departments contacts, pension funds, investment funds, high net worth individuals, property professional, media and legal advisers

Budget & Staff Management Accountabilities:

  • Line management responsibility for the Property & Development Administrator/s
  • Property direct reports span across Development and Property Services, who look after Maintenance, Construction, Refit and Estates Management
  • Ensure budget guidelines are accounted for
  • Process adhered to in relation to new acquisition sign-off

  • Proven PA experience working at director level
  • Experience of working in a property / technical area would be a benefit
  • Have proven organisation and communication skills – both verbal and written, be confident in liaison with team members, customers and suppliers
  • Excellent ability with Google Mail and applications (sheets, docs, slides), including Microsoft Word, Excel and
  • PowerPoint packages
  • A proven ability to agree and maintain standards and work to tight deadlines
  • Flexibility to be able to work in Thame and travel to London or other locations that the role requires
  • Able to work using own initiative and work remotely out of the office

Location and Hours of Work

  • Base is the Travelodge head office in Thame, Oxfordshire
  • Some travel will be required including occasional overnight stays
  • Hours are full-time, with occasional early starts and evenings required
  • Hybrid working in line with head office working arrangements; 3 days in the office, 2 working from home
